Innovation Relay Centre West Poland co-operate with Varico in searching for business and technology partner all around the world.

IRC West Poland is preparing itself to introduce system of quality management and one of the elements of this system is control of our strategic objectives and its metrics. We think that Balanced Scorecard idea supporting with VARICO STRATEGUS is very interesting solution for our organization. We noticed potential of "open source" idea, flexibility of the program and very interesting concept of multilingualism.

We consider using VARICO STRATEGUS as support of control and analyze of strategic activities of our organization.

VARICO STRATEGUS may present idea of Balanced Scorecard to members of board of directors in small and medium enterprises. The program can't replace deciders in creation of strategy of their companies, choosing the best objectives and metrics of realisation but can be very useful tool for recognising or usage of innovative management techniques.

The advantage of the program is its relatively simple technology. As a result of this aspect, the program can be use in almost every small or medium company and the application is available in every time and place.

Companies are increasingly seeking to make their organisational structures lighter, speedier and more responsive to market changes. The "VARICO STRATEGUS" tool is a new management software. Through the scoring mechanism (the so-called balanced scorecard), it allows to generate a thorough analysis of business performance. Its application in the Polish market gives hope for the development of better planning and development environment for enterprises better suited to the new EU era. Its application to public sector organisations is another exciting possibility since it can be adapted to track performance of policy programmes. This is a novel aspect of the softwae package since the Balanced Scorecard tool has been usually used in the past only or companies.

Quality and transparency of Management functions is becoming more and more important, especially for SMEs e.g. with respect to future credit ratings according BASEL II. One of the most effective ways to fulfill those upcoming criteria's is to run a clear strategy and to be in a position to give reliable statements on current achievements according to it.

This is usually the place where a BSC comes into the picture and the absence of easy configurable and useable tools is noticed. VARICO STRATEGUS as a web based application seems to have the potential to close this gap by offering a tree-based skeleton, allowing users to build up their own hierarchy of Key Process Indicators including dependencies. According to the idea of a BSC and reflecting reality objectives can be split through all 4 perspectives. Charts including data of the last reporting period are giving guidance for Management on different levels where action is required to reach agreed targets.

Potential enhancements - strategy and performance monitoring

In the first place the BSC intended to give a quick and easy overview on current situation of the enterprise. On the other hand it can serve as early indication that an area is facing problems and performance will decrease soon if no action is taken in advance (even here flight panels can be used as example, vectors are showing the situation expected within the next 5 or 10 minutes). A trend indication for future situations and a possibility to explore effects of KPI variation could enhance the monitoring tool to a strategic planning tool. Closely related is the information about single KPI's relevance, compared to other KPI's. Currently not visible (at least not on the first view) this information can be included by using the critical range representation (extremely critical KPI's usually show a small range of acceptable values before action is needed). This would even help to find out which combination of KPI variation (or actions to be taken) would maximize the benefit.

Another question can be answered with help of a BSC. By using and analyzing historical data it can be determined how fast a KPI is reacting on actions. This information might be used as part of the feedback loop for an enterprise strategy regarding long and short term objectives (time to market measurement). A more advanced area of enhancements can be opened by including or interfacing economical forecasting models (e.g. Census X11). This would allow users to give reliable estimates how closely they follow business plans (one statement trend analysis) and be an essential reporting part for enterprise stakeholders (e.g. when using venture capital). As historical timelines and macro economical factors (country specific!) need to be taken into account, SME management is usually not able to spend the time needed to do this exercise. Solution for Varico here might be to cooperate with local associations and organizations for respective enhancements.

Persistent Education Centre in Poznan

Persistent Education Centre in Poznan (Centrum Kształcenia Ustawicznego) was founded in 1992. It educates adults among others in economics and accountancy.

The centre co-operates with Varico since 1996. We use accountant programs of Varico and its internet applications – VARICO PRODUCTUS, VARICO STRATEGUS and VARICO SERVUS®. Our students are managing simulation of the imaginary company and this task is supported by software of Varico. In that way they reach practical skills in management of companies which can be useful in future work not only for SMEs.
